Private Event Agreement – Stained Edition
Booking Deposit
A 25% deposit is required to secure your booking. You have 48 hours from the time the invoice is sent to pay the
deposit. This deposit is non-refundable if the event is canceled less than 7 days prior to the scheduled date.
Final Payment
The remaining balance is due 7 days prior to setup.
Headcount
Headcount must be confirmed at the time of booking. Final headcount for price adjustment (potential refund/credit
or charge) must be made 7 days prior to the event.
Setup & Cleanup
Stained Edition will arrive 60 minutes before and remain up to 60 minutes after the event for setup and
breakdown. Please ensure the venue is accessible at those times. If venue access is delayed by more than 30
minutes due to host circumstances, the event may be shortened or canceled without refund. Due to the timed
nature of the event, any delays caused by the host or guests that disrupt the planned flow may result in
incomplete pieces, and Stained Edition will not issue refunds or credits in such cases.
Venue Responsibilities
The host is responsible for ensuring a suitable space for seating, tables, and access to power outlets. Any food or
beverage service is at the host’s discretion and liability. Hosts are responsible for any trash disposal and general
cleanliness for food or beverage after the event.
Cleanup & Safety Notice
While Stained Edition performs thorough cleanup, there may be residual glass shards or materials present. Hosts
and guests assume all responsibility for post-event space safety.
Equipment Care
Hosts may be held responsible for damage to tools or equipment caused by negligence or misuse by guests. All
equipment remains the property of Stained Edition. Replacement costs will be charged at market value for any
broken tools or equipment.
Alcohol Policy
Alcohol may be served or brought to events where legally permitted. All consumption is at the participant’s own
risk. Visibly intoxicated participants may be asked to stop creating for safety reasons and are not eligible for arefund.
Safety
All participants must wear closed-toe shoes. Protective equipment will be provided. Waivers must be signed prior
to participation. Stained Edition reserves the right to remove any participant engaging in unsafe, disruptive, or
harassing behavior without refund. Stained Edition may enforce mask-wearing, sanitization, or distancing
measures based on current public health guidelines.
Force Majeure
Neither party shall be held liable for failure to fulfill obligations due to unforeseen events beyond their control,
including but not limited to acts of God, natural disasters, government regulations, or health emergencies. In such
cases, any payments made will be credited toward a future event.
Cancellation & Rescheduling
Cancellations made more than 7 days in advance may be rescheduled at no charge. Cancellations within 7 days
are subject to forfeiture of the deposit and fees paid. Rescheduling is subject to availability.
Liability & Damage
Stained Edition is not responsible for any damage to the venue space, furniture, or fixtures. Hosts are responsible
for providing a safe and adequate event environment.
Media Release
Photos or videos taken during the event may be used by Stained Edition for promotional purposes unless
otherwise requested in writing.
Accessibility
Hosts are encouraged to notify Stained Edition of any accessibility needs in advance so accommodations can be made.
